New Boards, team chat and ERP export, all tied to the hours

# Plan the work, log the hours, close the month

Boards for the work, threads for the talk, and one sheet a week for the hours, filed a month at a time and signed off by the person who should. Every hour goes from the card it was spent on to the invoice, the contractor's pay and your ERP.

The product

## From the card to the invoice, one record of the work

Most teams plan in one tool, talk in another and log hours in a third, then reconcile the three at the month end. In Clock Clerk the card you move is the task you log against, the thread beside it says what was agreed, and the week sheet files the hours a month at a time.

Plan

### The card is the task you log against.

Every project has a board, with the columns named your way, from Backlog to QA to Shipped. Each card is the same task people pick on their week sheet, so it shows the hours logged against its estimate, and moving it is how its status changes. There is no second list to keep in step.

- **Members move the cards they work on**, by dragging or from the keyboard; the project's managers shape the columns.
- **A thread on every card**, where an edit keeps the earlier text and a removal leaves a marker.
- **Import from Azure DevOps, Trello, Jira or Notion**, with their columns and people mapped onto yours. Team and Enterprise.

Talk

### Talk it through where the work is.

Every project has a thread, every card has one, and any two people can message each other directly. Type # to point at a task and @ to bring somebody in; a mention or a direct message still unread after ten minutes reaches them by email. Messages arrive live, and nothing said is quietly rewritten.

- **Threads shared with your clients.** Invite their people by email into the threads you choose; they see those and nothing else, and guests are never charged. From Starter up.
- **A client who already uses Clock Clerk** finds your shared threads from their own sign-in, once they link their account.
- **One unread count** in the header, across direct messages and every project you are on.

Record

### The week sheet.

One row per line of work, seven days across, a total at the end. Type a number and it is saved. A month end draws a divider over the days it owns, with its own status and its own submit, so the September days of that week stay typable once August is filed.

- **Submit week** files every open month in one click.
- **Move a line** to the right project with its days, comments and rate, and across the weeks after it.
- **A holiday schedule** that comes filled with the US holidays and is the administrator's to edit, half days included. Every week sheet marks the days, and a paid holiday lowers the person's target. From Starter up.
- **A day view** for logging as the work happens: step a task up a quarter-hour at a time, or add an hour in one click.
- **Folds on a phone** into a stack of lines with the seven days across.
- **Expenses beside the hours**, with the receipt attached and approved with the hours of the same week, then paid back, or billed to the client on Team and Enterprise.

Review

### Approve a filing, not a person.

The queue lists filings, so a week that straddles a month end is two rows under one name and the figures beside each button add up to what it approves. Approving locks the month; sending it back reopens it with the reason on the sheet itself.

- **A backlog behind the queue** counts what is pending and who is missing over the last eight weeks.
- **Nobody reviews their own week.** A manager sees the clients and projects they were granted, and no others.
- **Remind all** is one press, and it only asks people who were here that week.

Report

### What you bill, and what it costs you.

Group hours by client, project, person, activity or billing role, then show them at the price you charge your clients or at what each person costs you. Switch between the two on the same report; the money column is headed Value or Cost, so a total never mixes them.

- **Rates at four levels:** standard, client, project, or one person on one project. The most specific one that covers the day applies.
- **Saved reports are a link**, one click from any screen.
- **Uncosted people are named**, never counted as free.

Bill

### Invoices drawn from the hours.

Pick a customer and a period and the draft is made of their approved, billable hours, priced at the rate card. Issue it, email it, and record payments as the money arrives. Part paid, overdue and paid are read off the payments and the due date.

- **A frozen document.** A rate corrected next quarter does not change what a customer was sent.
- **Billed hours are locked** unless the invoice they are on is voided.
- **An hour is billed once**, even when two drafts are made at the same moment.

Team and Enterprise

Pay

### Contractors paid for the month they logged.

A contractor fills in the same week sheet as everyone else. At the month end their hours become an acceptance protocol at their cost rate, with an invoice in their own series. They submit it, their manager countersigns, and an administrator approves it and records it as paid.

- **Nobody countersigns their own month.**
- **New bank details are checked** by an administrator before the month can be approved.

Team and Enterprise

Integrations

## Works with the tools on either side

Tasks come in from the tracker your engineers already use, and approved hours and their cost go out to the books your finance team already keeps. Clock Clerk sits in between, where the hours are approved.

In: the work

### Import tasks from your tracker.

Link a project to the board or list your team already keeps in Jira, Azure DevOps, Trello or Notion, and pick the items to bring over. Their columns land on your board's columns and their people on yours, so the cards are ready to log time against.

It is an import, not a sync: nothing is written back to your tracker, and a later change there does not reach the card.

Azure DevOps Trello Jira Notion

Out: hours and cost

### Export approved hours to QuickBooks or your ERP.

Approved days go out as time entries, with their cost where your ERP takes it, and contractors' months and reimbursable expenses go as vendor bills and expense reports where your ERP takes those. A change after export goes as a correction, and anything that cannot be sent waits where Finance can see why.

QuickBooks Online and QuickBooks Desktop come with Team, and every other ERP with Enterprise. QuickBooks Desktop is not synced: Finance downloads an import file and imports it into the company file, and a time entry changed after that is corrected there by hand.

### A roadmap you vote on.

Suggest a feature from inside the app and vote on the list every customer shares. We reword each suggestion before it goes on that list, so nothing you type is shown to another customer, and you can follow yours from Under review to Shipped.

- **Everyone gets a vote**, whatever their role, on every plan and during a trial.
- **Your suggestion stays yours**: you see what became of it and any note that came with the answer.

Security and privacy

## Your organization's data, kept apart from everyone else's

#### Sign in your way

Sign in with your email and a password of at least 8 characters on any plan. Single sign-on starts on Starter, at $3 a filer, rather than waiting for an Enterprise tier, and comes with the trial: Microsoft 365 from sign-up, or Okta, Google Workspace or another OpenID Connect provider that an administrator sets up themselves. A change to someone's role takes effect straight away.

#### A second step at sign-in

On every plan, anyone who signs in with a password can turn on two-step sign-in: a six-digit code from an authenticator app, recovery codes for a lost phone, and passkeys in place of the code. An administrator can require it of everybody. With single sign-on, your provider asks for its own second step.

#### A record nobody can edit

Sign-ins, changes to people's roles and access, and changes to your organization's settings go into an audit log on every plan, with anything Clock Clerk support does. Administrators can filter and export it; nobody can change or delete an entry, the app included. Each one is kept for a year.

#### Walled off, twice over

Each organization sees only its own clients, projects and hours. The app checks that on every screen, and the database checks it again underneath, so one safeguard backs up the other.

#### Closed unless allowed

Every screen is closed unless a person's role opens it. A manager sees only the clients and projects they were granted, and cannot even tell whether others exist.

#### Take all your data with you

One download holds everything your organization has entered, ready to be loaded in again. Deleting your organization takes two deliberate steps, so it never happens by accident.

#### Mail that can be trusted

Invitations and reminders are sent from an address we verify, so mail providers know they really come from us. Every message can be unsubscribed from in one click, and we keep a record of each one sent.

#### Backed up every night

A full backup every week and a smaller one on each of the other nights, encrypted and verified, with every change saved in between.

Pricing

## You pay for the people who log time, not the people who manage them

Most time trackers charge a seat for everyone who signs in, including the managers who approve and the administrators who run it, and the approvals and reports those managers need often sit on a higher plan that raises the price of every seat. Clock Clerk charges only for the people who log hours that month. Everyone who reviews, approves, administers or reads the reports is free, on every plan.

A typical per-seat time tracker

- Someone who logs time **A seat**
- A manager who approves it **A seat, and approvals often need a higher plan**
- An administrator **A seat**
- Finance, reading reports **A seat**
- Someone on leave all month **A seat**

Clock Clerk

- Someone who logs time **$3–$6 / month, or $0 on Free**
- A manager who approves it **$0**
- An administrator **$0**
- Finance, reading reports **$0**
- Someone on leave all month **$0**

A manager who also logs hours counts once, at the same price as everyone else. There is no manager seat and no admin seat.

Questions

## Asked before they switch

**Does it have a timer?**

No. Hours are typed against a day, which is what a client is invoiced for and what a reviewer can sign off. Most people log each day as they go, in the day view, stepping a task up a quarter-hour or adding an hour in one click; a whole week typed at once takes under two minutes.

**What happens at a month end mid-week?**

The week is cut where the month is. Each part has its own status and its own submit, and locking follows the days, so the new month stays typable while the old one is being approved.

**Do managers and administrators cost more?**

They cost nothing. Only the people who log hours in a month are billed, and at one price whatever their role. A manager who approves, an administrator who runs the organization and a finance lead who only reads the reports are free, however many you have.

**Can a manager see everyone?**

Only the clients and projects they were granted. A grant is not a seat on a team either: a manager books nothing until a project is ticked for them like anybody else.

**Can our clients join the conversation?**

Yes, on any paid plan. Share a thread on a project and invite your client's people by email. They sign in from the link and see only the threads they were invited into, never your cards, hours or other threads, and they are not charged.

**Does the board replace Jira or Trello?**

It can. Where the engineers stay in Jira, Trello, Azure DevOps or Notion, link the project to it instead and import their items as cards, so the hours are still logged against the work they track.

**Which ERPs can we export to?**

QuickBooks Online and QuickBooks Desktop on the Team plan, and SAP S/4HANA, Oracle Fusion Cloud ERP, NetSuite, Microsoft Dynamics 365, Sage Intacct, Acumatica and Workday on Enterprise. Approved hours go out with their cost if you choose, and a correction after export is sent as a reversal and a new entry. QuickBooks Desktop takes an import file that Finance downloads rather than a live connection, so a time entry changed after import is corrected there by hand.

**Do we need Microsoft 365?**

No. A trial starts with a work email and a password, and everyone you invite sets their own. A Microsoft 365 organization can start with Microsoft directly from sign-up, and an administrator can switch to Okta, Google Workspace or another OpenID Connect provider after a test sign-in, without asking anyone. Single sign-on comes with every paid plan and the trial; Free signs in with passwords.

**What happens when the trial ends?**

Nothing is deleted. Every screen, report and export goes on working; the organization simply stops accepting new hours until a plan is chosen.

**Can we get our data out?**

Yes, all of it, in a single file laid out so it can be loaded back in — not a CSV of a few tables.
