Convert approved hours into invoices
An invoice built from a timesheet is only as good as the link between them. In Clock Clerk the draft is made of the approved, billable hours, priced at your rate card, and those hours are locked for as long as the invoice stands.
Thirty days of the Team plan, no card.
The export, the spreadsheet and the accounting tool
Billing from timesheets usually means exporting hours, pricing them in a spreadsheet and retyping the result into an accounting tool. Each step can lose an hour or bill one twice, and nothing stops a timesheet from being edited after the invoice was sent.
When a client questions a line, the team then has to rebuild which hours, at which rate, made up the figure.
The draft is the approved hours
Pick a client and a period.
The draft takes that client's billable hours in the period that are not on another invoice and, by default, have been approved. Each is priced once, at the most specific rate that covers it, and the screen shows what was held back and why.
- Group the lines by task, project, person and role, role, activity or day, or make it one line, and add manual and discount lines.
- Three templates: detailed time with rates, a summary without rates, or a fixed fee.
- Expenses at cost, with tax and discounts applied to them like the hours.
Team and Enterprise
A draft invoice made from approved hours: each task's hours at its rate and the total, with hours still awaiting approval held back.
Issue it, send it, and record what is paid.
Issuing freezes the document, with your seller details and logo, under its number in the client's series. Email it from the app and record payments as the money arrives; part paid, overdue and paid are read off the payments and the due date.
- Billed hours are locked unless the invoice they are on is voided.
- An hour is billed once, even when two drafts are made at the same moment.
- Each invoice keeps its history: created, issued, sent, paid or voided.

The invoices list: each invoice with its customer, its status, from draft and sent to part paid, overdue and paid, and its amount.
What it does not do
Clock Clerk produces the invoice and tracks what is paid. It is not an accounting system, and these are the gaps.
US dollars and one tax rate
Every invoice is in US dollars, with one flat tax percentage. There are no other currencies, tax codes or jurisdictions.
No online payment
Clients pay the way they pay you today; payments are recorded by hand, with no card payments, payment links or bank reconciliation.
No credit notes or recurring invoices
A wrong invoice is voided and issued again, and a retainer is a manual line; nothing is issued on a schedule.
Print to PDF
The invoice is a page in the app, emailed as a message or saved as a PDF from the browser's print. No PDF is generated for you.
Invoices stay in Clock Clerk
The ERP export, QuickBooks included, sends hours, costs, contractors' months and expenses, not customer invoices; they are retyped into your accounting tool or kept here.

Asked while evaluating
Can we hold back hours that are not approved yet?
Yes, and it is the default for each client. A draft takes only approved hours, and the screen shows what was held back, with a link to the report of what is still waiting for approval.
What if a rate was wrong?
Correct the rate card, then discard the draft and make it again, or void the issued invoice, which frees its hours, and issue a new one. An issued invoice never changes by itself when a rate does.
How are invoices numbered?
In a series per client, such as NOR-2026-0012, restarting each January. The number is taken when the draft is made, so a discarded draft leaves a gap rather than a reused number.
