For consulting firms

Track billable hours and invoice consulting clients

Consultants are billed at different rates for different clients and roles, and an hour that is logged against the wrong engagement is revenue lost or a credit note later. Clock Clerk prices each hour at the most specific rate that covers it and invoices only what was approved.

Thirty days of the Team plan, no card.

The problem

The rate is the hard part, not the hours

A consultant's week might touch three clients, each with its own contract rate, and a senior who stands in as a project lead is billed at a different role on one engagement only. Rates change at renewal. Most time trackers hold one rate per person or per project, so the real price is worked out in a spreadsheet after the fact.

Then the hours must be right before they are billed. A partner wants to see the month before it goes out, and an hour corrected after the invoice was sent should not silently change what the client was told.

How Clock Clerk handles it

Each hour priced at the rate that covers it

One week sheet, every client and role.

Consultants log each day against a client's project and task, and pick the billing role when it is not their usual one. The sheet files a month at a time, and the engagement lead approves each filing.

  • Rates at four levels: a standard rate, a client's contract rate, a project's rate, and one person's rate on one project. The most specific one that covers the day applies.
  • Dated rates. A new contract rate applies from its start date, and earlier hours keep the old one.
  • Billable or not is set by the activity and the project, so internal time never reaches an invoice.

A week sheet cut at the month end: the last day of the old month approved by the reviewer, the new month's days still a draft, with a total for each day.

An invoice per client, drawn from approved hours.

Pick a client and a period, and the draft is made of their approved, billable hours at the rates that apply, grouped by task, project, person and role, or as one line. Issue it, email it from the app and record payments as they arrive.

  • A number series per client, such as NOR-2026-0012, so each client's invoices run in order.
  • A frozen document. A rate corrected next quarter does not change what a client was sent.
  • Billable expenses at cost, beside the hours on the same invoice.

Limitations

What it does not do

Clock Clerk covers the time, the rates and the invoice. It is not an accounting system, and a firm with these needs should know before it starts.

  • US dollars only

Rates, invoices and expenses are in US dollars. A firm billing clients in euros or pounds cannot use the invoices as they are.

  • One tax rate per invoice

Each invoice carries one flat tax percentage. There are no tax codes, jurisdictions or tax-inclusive prices.

  • No retainers or recurring invoices

A draft is built from a period's hours. A monthly retainer is a manual line, and there is no schedule that issues invoices by itself.

  • No credit notes

An issued invoice that is wrong is voided, which frees its hours, and issued again. There is no credit note document.

  • No PDF generator or client portal

The invoice is printed or saved as a PDF from the browser, and emailed from the app. Clients cannot pay online through Clock Clerk.

Questions

Asked while evaluating

Can we hold back hours that are not approved yet?

Yes, and it is the default for each client. A draft takes only approved hours, and the screen shows what was held back, with a link to the report of what is still waiting for approval.

Can the invoice hide our rates?

Yes. The summary template prints hours and amounts without rates, and the fixed-fee template prints only a description and an amount. The template changes what is printed, not the figures.

Does it have a timer?

No. Hours are typed against a day, which is what a client is invoiced for and what a reviewer can sign off. Most people log each day as they go, in the day view, stepping a task up a quarter-hour or adding an hour in one click; a whole week typed at once takes under two minutes.
